We have a Board of nine Directors [Trustees] supported by Advisers selected by the Board. There are six sub committees who deal with research and recommendations which are put before the Board.
The functions of the Board are:
- Selecting services or contractors
- Authorising action, approving costs and contractors
- Receivng reports from sub committees at each Board meeting
- Liaise with the NHS Trust and or Conservation Officer as appropriate
- Keep the membership informed about major projects
- Reacting to recommendations from sub committees and taking appropriate follow up action and ensuring that any deadlines are monitored
The functions of each sub committee are:
- Researching, reviewing and updating data
- Advising on its specialism and forming recommendations
- Researching and comparing costs etc
- Not incurring expenses without the approval of the Treasurer
- Reporting to the Board on a regular basis via a nominated chairperson
- At Board meetings advising any other sub committees on topics of common interest e.g. deadlines, penalties etc
- Overseeing service provider or contractor
- Reporting on progress, delays and any unexpected expenditure
- Keeping data on contractors with an appraisal of quality of work or service provided
- Advising the Board of any defects in work or services supplied
- Keeping minutes of meetings and copies of correspondence
- Liaising with the Treasurer as approriate

The first meeting of the Steering Committee was held on 8th October 2009. The role of the Steering Committee will be to identify the work that will be necessary on the Chapel and to attribute contract costs payable by the NHS Southampton City and to establish what the Friends will be asked to take on in their fund raising capacity. The Steering Committee agreed that Blunt Construction Ltd [currently repairing and rendering parts of an outer Chapel wall] will be asked to arrange a survey and to draw up a proposal on access into the Chapel including a lift for disabled visitors. However because of the ultimate size of future work, under NHS contract rules, the application will be referred to another contract tendering arrangement.
At the Board meeting of the Friends held on 9th October, the Board drew together a strategy as to how the Chapel will be best served to provide community use and be in sympathy with its Grade II listed staus. The Board studied options of access available and agreed a glass enclosure on the side of the Chapel [also favoured by the SCC Conservation Officer] as that would house the access lift and stairwell.
Following the Board meeting on 13th November, a selection panel representing Osbornes contractors, SW Hampshire LIFT, SCC Conservation Officer, NHS Southampton City Estates Project Manager and Dawn Buck and John Avery directors of the Friends interviewed three firms for surveys, preparation of the architectural drawings and project overview.
